BOND is seeking an Office Manager for the Providence, Rhode Island office. In this position, you will professionally maintain all office services by organizing office operations and procedures. You will maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement. You will design filing systems and establish procedures for protection, retention, retrieval, transfer and disposal of company records. This multifaceted administrative role provides office support with a variety of administrative and related clerical activities.

Core Responsibilities:

  • Create any needed data in the form of letters, memorandums, proposals or reports
  • Oversee office projects and facilities Issues
  •  Sort and distribute incoming and outgoing mail, prepare travel arrangements, conference registrations, order office equipment and supplies, etc.
  • Track department spending and budgets
  • Work with management by keeping them informed, summarizing information and trends
  • Keep the office and other communal areas in neat and professional condition
  • Arrange and participate in meetings and record meeting minutes as needed
  • Coordinate the pick-up and delivery of express mail services (Fed-Ex, UPS, etc.) and resolve any related issues
  • Prepare agendas/reports, order food/refreshments for company and department meetings
  • Scan, photocopy, fax, file, and collate as requested
  • Responsible for other administrative duties as assigned

Qualifications:

  • High school diploma or equivalent work experience – Business courses or certification a plus
  • Exceptional interpersonal skills and the ability to develop positive working relationships
  • Detail-oriented, organized, flexible, and able to effectively multitask while working in a fast-paced environment
  • Excellent time management and prioritization skills to ensure deadlines are met while providing accurate deliverables
  • Robust knowledge of Microsoft Office (Excel, Word, Power Point, and Outlook)
  • Display initiative and independent thinking
